This policy explains what personal information I collect when you use this website or work with me, and what I do with it.

Who I am

The Working Voice Practice is the trading name of Owen Butcher, sole trader, based in East London, United Kingdom. I am the data controller for any personal information you provide.

What I collect

When you contact me or book a consultation: your name, email address, phone number, and any information you choose to share about your voice or what you're looking for.

When you become a client: the above, plus session notes, vocal history, any clinical information you choose to share, and payment records.

When you visit this website: standard analytics data — pages viewed, approximate location (country/region), browser type, time spent — collected via Squarespace Analytics & Google Analytics. This data is anonymised and used to understand how people are finding the site.

Cookies: this site uses functional cookies for site operation and optionally analytics cookies. You can disable non-essential cookies through your browser settings.

I do not collect special category data (such as health information) without your explicit consent, and only when it's directly relevant to the work we're doing together.

How I use it

  • To respond to enquiries and arrange consultations

  • To deliver coaching, vocal massage, and workshop services I've been booked for

  • To keep records of work undertaken, in line with professional practice

  • To send invoices and process payments

  • To communicate with referring clinicians, with your consent

  • To send occasional updates about the practice (only if you've opted in)

I will never sell, rent, or share your personal information with third parties for marketing purposes.

Who I share it with

Limited and necessary parties only:

  • Booking software (Acuity Scheduling) — for managing appointments

  • Payment processors (Stripe / PayPal / your provider) — for processing payments

  • Email provider (Google Workspace) — for correspondence

  • My accountant — for legitimate accounting and tax purposes

  • Referring or referred clinicians — only with your explicit consent

All third-party providers I use are GDPR-compliant.

How long I keep it

  • Enquiry-only records: up to 12 months from last contact, then deleted.

  • Active client records: for the duration of our working relationship plus seven years afterwards, in line with professional practice and HMRC requirements.

  • Financial records: seven years, as required by HMRC.

Your rights

Under UK GDPR you have the right to:

  • Access the personal information I hold about you

  • Ask me to correct anything inaccurate

  • Ask me to delete your information (where there's no legal reason for me to retain it)

  • Object to certain types of processing

  • Receive your data in a portable format

  • Withdraw consent at any time, where consent is the basis for processing

If you're unhappy with how I've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113.

Changes to this policy

I'll update this policy if anything material changes about how I handle data. The "last updated" date at the top will always reflect the current version.
